Job Description:
|
General Purpose:
Partners with the Executive Director to direct the ongoing operations of the National Aquarium in DC. Works closely with the leadership team to develop and carry out plans to achieve NADC operational goals.
Essential Functions:
Manages Budget/Finances/Cash Deposits/Payroll & vacation forms for all NADC staff
Supervises Cashiers/Guest Relations/Ticketing operations and staff
Provides telephone and cashier coverage as needed, to ensure 100% guest satisfaction
Reconciles cash drawer daily, recording, investigating, and resolving any discrepancies
Ensures meetings (internal and external) are properly planned, including securing locations, arranging catering, confirming attendance, preparing materials, etc.
Maintains master administration files.
Controls NADC administrative budget and critical line items.
Manages non-animal facilities: Housekeeping, Commerce services ( Mail, Security, Trash/sustainability), supervising staff as appropriate.
Serves as liaison with building management for all safety, security, maintenance, environmental and other tenant related communications.
Issues and controls security key authorization.
Directly responsible for office supplies, to include:
Serving as vendor liaison.
Receiving and approving all office supply orders.
Maintain office supply inventory.
Assist staff with purchase order questions.
Process purchase orders as needed.
Purchase and fulfill uniform inventory.
Coordinate purchase or delivery of office furniture.
Maintains supplies for all office machines (i.e., fax machines, copiers,).
Audits messenger service (courier, federal express, ups) invoices for personal and specific departmental charges and investigate potential discount programs for such.
Adheres to all organizational and departmental policies and procedures
Other duties as assigned or required

Required Skills/Experience: |
Associates degree or equivalent office and administrative experience.
Competencies: Highly organized; maintains ownership of NADC footprint and various vendor relationships; assertive; works well with little supervision; good computer skills (Word and Excel). Excellent communication and customer service skills
Problem Solving: Maintain office administration, assist with budget preparation, ability to negotiate and monitor vendor agreements.
Accountability: Accountable for general running of the NADC office; accountable for maintaining budgets for responsible line items.
Human Resources: Supervises two cashiers; maintains schedules, leave requests, etc.; ability to communicate diplomatically and address problems as needed. |
